Job Description

This position is responsible for carrying out Administrative Assistant II duties in the Records department. The pay rate is $18.78 per hour, not to exceed 28 hours per week. The work schedule is Monday through Friday between 8:00am-5:00pm. This position is remote work 75%-100% of the time. Staff member will be required to come in person to Centennial Campus 2-3 times per month and upon request as needed. This is a temporary part-time hourly assignment, not to exceed a total of nine months. The position is located at the Centennial Campus.

Minimum Qualifications

  • Two years of relevant work experience in an occupation related to the work assigned to this position OR a combination of related education plus relevant experience in an occupation related to the work assigned totaling two years.
  • Completed high school diploma OR completed GED.
Preferred Qualifications:
  • Additional work experience in an occupation related to the work assigned to this position.

Duties & Responsibilities
  • Basic clerical duties (record keeping, electronic filing systems, databases, copying materials, distributing mail and other office materials).
  • Provides enrollment verifications for students, college staff, and outside agencies in writing and verbally within FERPA and PPSC college policy.
  • Routes deferment information and degree verifications to the National Student Clearinghouse. Maintains the online Clearinghouse enrollment verification system, keeping it up to date by responding to any pending requests daily.
  • Maintain imaging and hard copy filing system for Centennial Campus including verifying, indexing, imaging, creating new folders, PDF conversions, and troubleshooting. Ensures that file maintenance procedures for Rampart, Downtown, and Centennial Campuses, and Military Programs are followed.
  • Coordinate the imaging of documents on all campuses to ensure timeliness and accuracy.
  • Assist other Records staff, as needed, with using Banner and Parchment systems, generate individual student transcripts as requested for student and other institutions.
  • Other duties as assigned of a similar nature and level.
  • Ability to professionally interact with a diverse population of students, staff, and faculty.
  • Reliability, punctuality, and ability to use discretion in decision making processes.
  • Ability to work individually and as a team member to provide excellent customer service.
  • Data entry, filing, and record keeping.
